April 25, 2024
Nathan Smythers called the meeting to order at 6:03 p.m. Present were Constance Patterson, John Seagle, Vera Carter, Todd Bruce, and Marcie Worrell.
Also, in attendance were Olivia Hale, Jackie Morris, Nathan Smythers, and Austin Painter.
Mr. Smythers asked for a motion to approve the minutes from June 22, 2023. The motion was made by Ms. Worrell and seconded by Ms. Patterson and were unanimously approved.
Finance Director, Jackie Morris, provided the financial report showing balances in the checking account and the CD as well as expenditures from June 2023 to current and a current balance
of $181,915.42 as of March 31, 2024.
Ms. Morris presented the option to deposit a portion of board’s funds into an account with VML/VACo Finance which could earn interest in the checking account and CD. Ms. Morris reported
there is no fixed amount the board could deposit, there is no fee, no penalty and no fixed amount of time to keep funds in the account.
Next, Austin Painter presented a software from Hurt and Profit that would address grave site tracking error and double selling of plots. The software would offer public searchability
and detailed grave site information. The focus would be on enhancing the cemetery management and efficiency and financial strategies to support the software’s cost.
The discussion of cemetery management was discussed as the need for more enforcement of monument regulations. It was discussed that the flat monuments could include attached flower vase
with a main material of granite would be preferred. It was so discussed to ask Public Works to clear the gravesites more frequently and any gravesite decorations would be removed outside
of the attached flower vase.
Mr. Smythers stated Public Works will be looking at removing aged trees in both cemeteries themselves instead of hiring a third party.
The members decided to meeting on Thursday, May 2, 2024 at 6pm to vote on investing the money to the VML/VACo account and going forward with the software program.
